Managing Your Bookings and Sessions
Your guide to handling booking requests, confirmations, cancellations, and video sessions.
The Booking Flow
Here's what happens when a client books with you:
- Client books a slot — They choose a time from your available slots and complete payment (held, not charged).
- You receive a booking request — Check your email and dashboard for new requests.
- You confirm or decline — You have a limited window to respond (shown on each request). If you confirm, the payment is captured. If you decline, you can suggest alternative times.
- Session happens — A Google Calendar event with a Google Meet link is created automatically when you confirm.
Confirming a Booking
Go to Booking Requests from your dashboard. Review the client's details and the requested time, then click "Confirm". A calendar event with Google Meet will be created and both you and the client will receive a confirmation email.
Declining with Alternative Times
If the requested time doesn't work, you can decline and suggest up to 3 alternative time slots. The client will be notified and can choose one of your suggestions.
Cancellations
Clients can cancel or reschedule sessions. Our cancellation policy applies:
- Cancellations more than 24 hours before the session receive a full refund.
- Late cancellations may receive a partial refund or no refund, depending on the policy.
- When a confirmed session is cancelled, the Google Calendar event is automatically removed.
If you need to cancel, please do so with as much notice as possible. Repeated cancellations may affect your standing on the platform.
Google Calendar & Google Meet
When you connect your Google Calendar during onboarding, Wholeding automatically:
- Creates a calendar event when you confirm a booking
- Includes a Google Meet link for the video session
- Sends calendar invites to both you and the client
- Updates the event if the session is rescheduled
- Removes the event if the session is cancelled
Both you and your client can join the session by clicking the Meet link in the calendar event or from the dashboard.
